This policy explains what personal information we collect, why, how we hold it, and your rights. It covers everything we run: this website, and all three doors of the Academy — The Keep (our men's programme and app), The Sanctuary (our women's programme and app), and The Training Academy (for those training to become coaches). By using our website, booking a call, or becoming a member, you agree to this policy. You must be 18 or over to use our services.
Each house has its own coach, and each coach is an artificial intelligence — software, not a human being. We say so plainly everywhere, because you should never have to find it out later.
The Training Academy has no coach of its own; Eve answers questions there as she does elsewhere on this website. If you register your interest there, we hold your enquiry details only.
Everything this policy says about how we collect, hold, use and protect your personal information applies equally to James and to Eleonore, and to both houses. Where a section names one of them, read it as naming both.
The two houses are kept separate. The Keep and The Sanctuary each have their own member database, and we do not share or combine records between them. If we ever build a feature that would involve any sharing between the two houses, we would ask your consent first, and you would be free to say no.
To respond to enquiries, arrange and deliver coaching, keep your records, improve our service, and meet legal obligations. With your consent, we also use your contact details to send you marketing — news, offers and coaching content — by email and SMS; you can opt out at any time using the unsubscribe link or by emailing us. For sensitive information we rely on your consent, which you can withdraw at any time (this may affect our ability to coach you).
Your one-to-one sessions with David are recorded, and a written summary of each session is placed in your record so your coach — James or Eleonore — knows where you are up to and you never have to explain the same thing twice. We would rather tell you exactly how that works than let you assume.
Your member record — your Blueprint, your coaching conversations, your session summaries — is held in a Supabase database in the Sydney, Australia region. The Keep and The Sanctuary each have their own separate database in that same Australian region. Access controls (row-level security), account multi-factor authentication and device security protect it. Coaching and sensitive records are held to a higher standard than anything else we hold.
Inside Identity Academy, David Collett is the only person who reads your record, and only when there is a reason to — preparing for or following up your session, answering something you have raised, or dealing with a safety or technical issue. Around each one-on-one, your own house's coach — James in The Keep, Eleonore in The Sanctuary — gives David a short summary drawn from your record so nothing is lost between sessions, and his notes afterwards are added back to your record. This is part of coaching you — not a wider sharing of anything. There is no one else on the inside to read it. Your AI coach processes your record automatically in order to coach you; that is software, not an audience.
Nothing you share reaches anyone in your life. We do not tell your partner, your family, your employer or anyone who knows you that you are here, or anything you have said.
There are only two exceptions, and we would rather name them than pretend they do not exist:
We use trusted providers to run the business, some based outside Australia (including the USA). This is the full list of those that may handle your personal information, for both houses:
Using these providers can involve a cross-border disclosure of your information — with the deliberate exception of your member record itself, which is held onshore in Australia. We take reasonable steps to ensure each provider protects your information to a standard substantially similar to Australian privacy law, and to use it only to provide the service to us. We keep this list current; if we add or change a provider that handles your information, we update it here.
James and Eleonore respond, suggest, and shape the material you are shown. No decision that significantly affects you is made by software alone. Decisions about your membership, your suitability for the programme, or any safety concern are made by David, by a person. If you would like an explanation of anything your coach has suggested, ask us.
We keep your information only as long as needed for the purposes above and to meet legal obligations, then securely delete or de-identify it. If you ask us to delete your account, we keep it for 90 days for an easy return, then delete it — except records we must keep by law, such as transaction records. Recordings and summaries follow the same rule, and you can ask us to delete a particular recording sooner. Where you use live voice, ElevenLabs also holds a recording and transcript of that spoken conversation on its own systems for 90 days before deleting it — see section 7.
You can ask to access, correct, or delete your personal information, or withdraw consent, by contacting info@identityacademy.com.au. That expressly includes your session recordings and summaries: ask at any time, for any or all of them, and you do not have to give a reason. UK/EU users have additional rights under the GDPR (including data portability and the right to object). We respond within a reasonable time.
If a breach likely to cause serious harm occurs, we will act under the Notifiable Data Breaches scheme and notify those affected and the regulator as required.
Identity Academy provides coaching, not medical, psychological, or crisis services.
